Terms and Conditions

Bookings & Payments Bookings can be made on line via www.balbeag.co.uk.  Alternatively, please contact us to check availability and request a booking form.  Provisional bookings can be accepted by telephone or email but a completed booking form or written confirmation as well as your deposit of £100 per week booked must be received within 7 days.  The signing of the booking form will be deemed to be an acceptance of all the Terms & Conditions herein.

Please send your completed booking form to Caroline MacGregor at the address below and make cheques payable to Caroline MacGregor.  If you prefer to pay by bank transfer (BACS), please see our bank details below.  The balance of rent must be received by us no later than 6 weeks prior to the arrival date.

Should bookings be made within 6 weeks of arrival, the full rental payment must be made at the time of booking.

Damages Deposit. A deposit of £100 is payable with the balance of the rental. Tenants are responsible for any loss or damage, extra cleaning and electricity incurred. The damages deposit will be posted back to you, with deductions made if necessary, one week after your departure.

Cancellations. Must be received in writing.  For cancellations received 6 weeks or longer before the start of the tenancy the booking deposit will be forfeited.  Should we be able to re-let the property, we will return the deposit less an administration charge.

For cancellations received less than 6 weeks before the start of the tenancy, the tenant is still liable for the balance of rent due.  However, should we manage to re-let the property, the tenant will be released from paying the balance of rent due. If full payment is not received by us by the due date, we reserve the right to cancel the booking with no refund of deposit.

Cancellation during Covid-19 Pandemic.  If you are unable to take up your Balbeag booking due to Covid related national or local lockdown, you can either defer your booking to a future date or be refunded in full.

This does not apply if you or any of your party are unable to travel due to any member of your party falling ill with Covid or being required to quarantine or self-isolate.  These can be covered by you taking out travel insurance.

If any member of your party develops symptoms of Covid-19 during your stay at Balbeag, you must inform us immediately, pack up your belongings and return to your home as soon as possible.  No-one can self-isolate at Balbeag.

Insurance. Tenants are strongly recommended to take out Holiday Insurance to cover loss or damage to personal effects and cancellation expenses. Balbeag has normal household insurance cover but, it does not cover tenants’ effects. Under no circumstances can we be held liable for any loss or damage to tenants’ property.

The Tenancy. This will normally be on a Saturday to Saturday basis starting at 4pm on the day of arrival and ending at 10am on the day of departure. Under no circumstances may the number of people occupying Balbeag exceed 8 unless agreed in advance and in writing. We reserve the right to refuse entry or revoke the booking if this condition is not observed.

Balbeag shall be used solely for holiday purposes and the tenant shall not sub-let the property, or any part of the property, or any equipment from the property. The tenant shall allow the owner or his agent or employees entry to the property for all reasonable purposes.

The contract effected on confirmation of booking relates to a holiday tenancy only and is therefore not an assured tenancy in terms of the Housing (Scotland) Act 1988. This confers on the tenant the right to occupy the property for the period agreed for holiday purposes only.

Breakages. The cost of replacements and repair to any damage incurred by the tenants will be deducted from the Damages Deposit. Breakages and damage must be reported to the caretaker immediately so that the item(s) can be replaced/repaired before the arrival of the next tenants. The incoming tenants should report any missing or damaged items to the caretaker immediately. Failure to do so may result in you being charged for the previous tenants’ breakages/damage.

State of Property. Tenants are expected to leave the property in a clean and tidy condition (stripped bed linen is appreciated). if extra cleaning is necessary, the cost will be deducted from your Damages Deposit.

Linen. Sheets, pillowcases, duvet covers, tea towels and bath mats are provided. Please bring your own bath and hand towels. However, should you be unable to supply your own, towels can usually be provided at £1.50 per bath towel and £1.00 per hand towel if booked in advance. Tenants will be charged the full cost of replacing lost or non-returned towels.

Electricity/Fuel. We monitor the number of electricity units used by our holiday guests and if the amount used is average for the time of year when they are at Balbeag, that is included in the rental price.  But, if the amount used is above the average number of units used at that time of the year, we will deduct the cost of the extra usage from the Damages Deposit.  Fuel is provided for the multi-fuel stove.      

Telephone & Broadband Use.  The cost of all telephone calls made will be deducted from your damages deposit. Tenants can enjoy unlimited use of Broadband.

Pets.  By arrangement.  Kennels are provided.  No pets allowed on beds, sofas and armchairs. Unless caged, pets must not be left unattended inside the house.

Lost/Forgotten Property. The cost of postage will be levied.

Privacy. We use a third party supplier (SuperControl) to process your accommodation booking. The information we collect is your name, billing address, email address and telephone number. This is used to process your payment and in case we need to contact you specifically about your booking.  We keep your personal details solely for the purpose of your booking of Balbeag. 

We do not keep any records of your credit/debit card details in any form, either written, electronically or in a database. Once you enter your details online, the transaction is processed via our payment processor and we do not record any of the details ourselves.

Your details will not be passed on or sold to any third parties for marketing purposes. You can ask us for a copy of the information we hold.  You can ask us to correct or remove any information we hold about you at any time.

I just wanted to email to say thank you very much for everything, our stay in Balbeag last week was fantastic. You were right, a really beautiful time of year to visit – we had a full and fun time.
